We built something from scratch. Relied on nobody to supply us hardware and software together. We wanted to take real hand printed paper time sheets and use those ideas to make an automated storage, search, indexing platform and auto calculation system as I called it back then. This led to us using ElasticSearch for our data.
We used many types of INPUT DEVICES which used barcode scanners, facial recognition, RFID Cards, Fingerprint and Bluetooth. Almost anything we could get our hands on was tested to see the ease of use and programmability. We found many products had complex initial setups both with hardware and software for adding users so we went back to low level programming of certain devices with their protocols to try achieve easy adding and integration of users.
Serial, USB, Ethernet and other methods were tested. We finally decided a network or cloud based Data Transfer was the most suitable as we only needed a little bit of information to be sent to the server for every CLOCK IN.
ETHERNET RELIABILTY & SECURITY
Many want and like the cloud solution. It has many advantages. We found when you interrupted the Ethernet cable the data would be lost in transit. Many device manufactures when we told them this had not realized that this is a possibility. We rely on a 2 way chat from the CLOCK IN DEVICE to the SERVER. You scan to ENTER and the SERVER will AUTHENTICATE and unlock a DOOR ONLY when the reply returns to the CLOCK IN DEVICE. Certain checks are in place for correct and reliable DATA TRANSFER. All data is sent in Encrypted form between the server and the client. Many system we found send plain text. We wanted to avoid any eavesdropping at all costs.
LOG IN / LOG OUT IS COMPLETELY AUTOMATED AND ACCURATE
We found it really surprising how many systems registered clocking times, but if someone was to enter 4 TIMES the system would never know if he was IN or OUT of a building. Our 2 way authenticator does this automatically. You can enter or leave a building 30 times, and the system will clock you IN and OUT giving at the end of day total hours worked in the office.
EXCEL SHEET .CSV TO ADD AND REMOVE USERS
We have a simple quick method to add and remove users using a single excel document. The excel sheet or CSV file has for each user “SCAN-ID, username, DOOR X OPEN/CLOSE, working hrs/day, hourly salary”
SCAN-ID = everyone needs a unique ID, fingerprint or RFID etc..
username=everyone has a unique username

We have a field in the standard excel or CSV file where you can input a CODE like 0100 along with the username for a front door to open for example. Or 0001 could be a back door. You can control which user gets into which door. The benefit is we can do some access control as well.
Question: How Fast Do users get logged in ? Answer: Less than 1/10 th of a second, but you hear a welcome message to be sure you have been recorded.
Question: How many simultaneous users can your system accomodate? Answer: There is no limit as long as our Server has RAM and CPU its limitless ! We do not use the INPUT DEVICE to store any data, all functionality is controlled by the server.
